Reminder of Regular Blackboard Maintenance Downtime Window This is just a friendly reminder to the UMBC campus community of the Blackboard weekly maintenance schedule window from Friday 10 pm to Saturday 1 am. Although this maintenance window is not always utilized, DoIT Staff will now be regularly implementing server updates on the last Friday of each month. Reminder notices about the downtime will be posted several days in advance. Blackboard instructors should take note of the weekly maintenance window, and as a general rule, refrain from assigning any work that is due on Blackboard during this time. Similarly students should understand that Blackboard may be unavailable each week from Friday 10 pm - Saturday 1 am. ]]>

Bb shells are available for all courses (designated as lecture, lab, or discussion) listed in the UMBC Schedule of Classes (SOC), provided that there was an instructor of recordlisted. The addition of new course sections and instructors will result in new Bb shells being automatically generated each morning. Student enrollment in Bb will continue to mirror the official registration in SA, and will update hourly. If you are an instructor, and your name is not associated with the course you are teaching in the SOC, please see your departmental scheduling coordinator to get that issue resolved. Additionally in situations where one instructor is teaching multiple sections of the same course, by default all sections will be combined into one Bb course shell. If you want to have separate shells for different sections, or if you need a shell for for a research or independent study course, please submit a new course requestor submit an RT ticket with your request. In accordance with the Blackboard Course Retention Policy, all Blackboard courses older than Fall 2007 will be deleted. DoIT has scheduled this removal for Friday, August 23, 2013.

Instructors are encouraged to download and keep a copy of the Grade Center for any affected courses. Instructors may also archive an entire course, and keep a local copy for their records. Be aware though that only DoIT system administrators can "restore" an archived course on the UMBC Blackboard production server.

During this time, Winter 2014 Bb courses will run on a separate Bb server and be created by December 4, 2013. After the WT2014 semester is completed (and the SP2014 semester is started), Winter courses will be migrated to the new production Bb server, typically by the end of Spring Break.

Currently, we are running version 9.1.9 and plan to upgrade to version 9.1.13 (depending on what version is available in October when the Winter server is built). In addition to staying current with Bb's latest release, the latest version of Bb will give us access to several new features that include the following:

Integrating the course with external calendars, including Google Calendar;
The ability to run Item Analysis on Tests
Improvements to the Content Editor
Use of the new xpLlor external content tool that pulls in content from anywhere (available in summer)
Enterprise Surveys and Course Evaluations.

Before the upgrade, anyone can see how these features look and function now by trying out a demo instance on the free coursesites.blackboard.com:

Go to coursesites.blackboard.com to create your own free course; or
Go to this same site to view our UMBC Bb Demo site and browse, self-enroll or login as a student.
If you want instructor access to the UMBC Bb Demo site, you can do so by submitting an "online learning" request via rt.umbc.edu.

After the upgrade, DoIT will provide face-to-face and online "Bb Drop In" sessions. We also are very willing to support cohort-based training for departments that can assure a minimum of four (4) faculty and/or staff will be present (dates & times TBD). To request cohort training, submit an "online learning" request via rt.umbc.edu. Please use “Bb Cohort Training Request” in the subject line.

Hello all.

On Tuesday, August 20th starting at 8am LDAP Master, Kerberos and Webadmin will be taken down for system maintenance. During this time account creations and password changes will be unavailable. Account authentication and logins will not be affected during this downtime.

The maintenance window will allow staff to apply needed security and application updates. The outage window is expected to last two hours with services being restored by 10am on Tuesday, August 20th.

During the outage window account creations will be queued and then processed upon restoration of services. If you have any questions or concerns, please contact our Technology Support Center at x53838.

Refreshing often can be a performance issue for both the user and the system, especially if you have a very busy RT-at-a-Glance. A solution for this is available by adding the Saved Searches report to your RT-at-a-Glance. Things like My Closed Tickets, etc. which probably do not use that often but are needed in a pinch are perfect candidates for this option.

By using the Saved Searches option the data is not loaded until the item is clicked on.

In my setup this allows for less active items on my dashboard giving me better performance and it also allows me access to seldom used reports without having to add them to my RT-at-a-Glance manually.

I will not be surprised if many of you have already discovered this but decided it was worth sharing in case there are others out there like me.

EDUCAUSE® is a nonprofit association and the foremost community of IT leaders and professionals committed to advancing higher education.

The article explains how UMBC was able to use the RT (Request Tracker) Help System, REX (Report EXchange) Data Warehouse, and FAQ's (Frequently Asked Questions) Knowledge Base systems to achieve a comprehensive help desk solution for the entire university.

Laura joined the Business Systems Group (BSG) of Division of Information Technology (DoIT) in the summer of 2012 and has been invaluable getting the word out about some of the success stories involving DoIT and our campus partners.

Her ability to grasp the concepts of the various technologies used throughout DoIT and pull them together in a cohesive manner has been remarkable.

Laura is a recent UMBC graduate (Class of 2013), a member of the English Honors Society (Sigma Tau Delta), and a recipient of the Learning Resource Center's Outstanding Tutor Award.

I am also excited for Laura as she begins her new position as the Arts and Entertainment Coordinator at The Baltimore Sun starting August 19, 2013.

Unfortunately, DoIT's restart of the Blackboard server on Friday, August 2, did not fix the problem with stalled back-end processes, but it helped identify the cause. We regret the inconvenience, but need to proceed so faculty can prepare for the Fall semester. We also don't feel this can wait until our regular, weekly maintenance window this Friday.

Note to Summer Session Faculty: DoIT knows that 4-week SS course grades are due tomorrow, August 6. If you will need access to grades in Blackboard, we recommend that you download your Bb gradebook to Excel BEFORE the 10 p.m. downtime begins. For help, see the following FAQ:
