    <div class="html-content"><span><p><span>On Friday, </span><span>March 1, 2019</span><span>, DoIT's Instructional Technology Team held its 4th annual </span><a href="https://my3.my.umbc.edu/groups/instructional-technology/posts/82084" rel="nofollow external" class="bo"><span>TechFest</span></a><span>.  As part of TechFest,  participants were asked to complete evaluation surveys for each of the three presentation sessions and the escape room and a final survey evaluating the event as a whole. For each completed survey, participants were automatically entered into a raffle. <Title>Digital Workflow Promotes More Comunication and Efficiency</Title>

    <div class="html-content"><div><span>For months now, newly accepted students have been facing the
    important decision of where to attend college. For most, one of the biggest
    factors will be how much money they are able to secure in financial aid. In
    order to help students make this crucial, time-sensitive decision, the </span><span><a href="https://financialaid.umbc.edu/" rel="nofollow external" class="bo"><span>Office of Financial Aid and Scholarships</span></a></span><span> (OFAS) at UMBC makes it a top priority to provide students
    with all the information and resources they need as soon as possible.</span><span><br></span></div><div><span><br></span></div><div><span>To do so, OFAS has picked up DocuSign, the electronic
    signature and digital workflow platform being utilized all throughout UMBC. By
    converting numerous key forms to DocuSign, OFAS hopes to expedite and simplify
    the process of securing financial aid for both students and staff. This
    includes giving students and parents direct, immediate access to the
    Scholarship Agreement, Loan Increase, Dependent Verification and other such
    forms through a secure email. The signer can then follow useful tooltips that
    guide them step by step through the form before sending it on its way with just
    a click of the mouse. A process that once took many days can now be completed
    in mere hours as DocuSign uses notifications and reminders to encourage rapid
    compliance. <br></span></div><div><br></div><div><span>OFAS staff worked hard with the </span><span><a href="https://doit.umbc.edu/" rel="nofollow external" class="bo"><span>Division of
    Information Technology</span></a></span><span>
    to make these forms as intuitive as possible. For starters, these forms can
    pull information from UMBC databases and PeopleSoft to prepopulate numerous
    fields before the student even opens the document. Once the student enters the
    form, the fields that haven’t been filled out for them will contain restrictions
    such as character limits and formatting guides that can prevent the student
    from submitting the form with incorrect information. If mistakes do make it
    through, OFAS staff can terminate the form and resend it immediately along with
    an email clarifying what needs to be fixed. Compliance Specialist <strong>Joe Scott </strong>says that this flexibility
    along with quick communication makes it much easier to process these forms
    efficiently while also improving the experience for students and parents.</span><span><br></span></div><div><span><br></span></div><div><span>Associate Director <strong>Cory
    Ziegenfuss </strong>praises the significant reduction of time and paper spent
    signing, processing and storing these forms. Staff can assign the resources
    they’ve saved using DocuSign on other projects, thus improving the overall
    efficiency of the department. </span></div><blockquote><blockquote><blockquote>

<Title>Emergency Phone Mail and Call Processing Outage Later today</Title>

    <div class="html-content"><p><span>Beginning over the weekend and continuing into today a number of users and phone numbers may have experienced intermittent phonemail service including both voicemail and call processing boxes. We are experiencing hardware failures in one of the campus phonemail nodes and have been working with our vendor to diagnose the problem. </span></p><p>We will be doing an emergency repair starting today between 3 and 4 that will affect access to part of the voicemail and call processing boxes on campus. </p><p><span>During the repair window the campus should expect some system voicemail outages as we will need to take some systems offline to install new hardware. We anticipate this outage being around 2 hours, after which time the entire system will need to be taken off-line for 20 minutes to re-sync the new hardware. This larger outage will not occur before 5:30pm tonight. </span></p><p><span>Should you have any further questions or concerns please let me know.</span></p><p><span>We apologize for any inconveniences this may cause and the short notice. We are trying to conduct a repair as quickly as possible before a more severe failure occurs. </span></p><br><p><span>During the repair window the campus should expect some system voicemail outages as we will need to take some systems offline to install new hardware. DoIT will communicate details of the repair window when that information becomes available. <Title>Ultra adoption takes off as 145 courses opt in</Title>

    <div class="html-content"><span><p><span>Early adoption is growing at UMBC as more than 100 faculty opted to use the new Ultra Course View during the SP2019 semester. An additional 25 faculty tried Ultra </span><a href="https://doit.umbc.edu/news/?id=78853" rel="nofollow external" class="bo"><span>using the sandbox shells</span></a><span> created for exploring the new course interface.</span></p><span>Compared to FA2018, Ultra adoption increased by more than 900% -- from 14 courses to 145 courses. UMBC faculty also </span><span><a href="https://doit.umbc.edu/news/?id=80996" rel="nofollow external" class="bo">use Blackboard differently</a></span><span> than most schools, further demonstrating ongoing engagement in innovation.</span></span><div><br></div><div><img src="https://blackboard.umbc.edu/bbcswebdav/institution/doitnews/UCP_Adoption_myUMBC.png" width="500" style="max-width: 100%; height: auto;"></div><div><span><em>March 28 update: 148 courses are now using Ultra</em><br></span><div><span><span><br></span></span></div><div><span><p><span>Although Ultra </span><a href="https://wiki.umbc.edu/x/04ZnB" rel="nofollow external" class="bo"><span>does not support all features and tools</span></a><span> currently in the Original version of Blackboard Learn, many faculty jumped into Ultra to benefit from the streamlined workflows. “I love that the grades don't post until I post them,” said Kate Drabinski, who converted one of her courses to Ultra. “I can post all the grades at once rather than having students get their grades at different times over 1-2 weeks.”</span></p><p><span>For some departments, Ultra was also an easy stepping stone to innovate. For example, Emergency Health Services adopted Ultra in 53% of its SP2019 course offerings. Other programs, such as the online Master of Arts in Teaching English to Speakers of Other Languages, coordinated training for instructors to support Ultra adoption. Use of the new course interface grew in Art, English, Psychology, Modern Languages, Linguistics, and Intercultural Communication, and Health Administration and Policy.
