Information about partial systems outage from Thursday 7/20 Yesterday evening shortly after 10pm one of the main storage units that services myUMBC, on-campus mail and several other central services suffered a failure that caused these systems to be either taken off-line or respond slowly. 

DoIT staff worked on the system and we were able to move over to a backup unit and restored all services shortly after 1:00am. 

Any users on the affected mail system may have seen a delay in the delivery of mail, but all messages would have been queued up and delivered once service was restored.

Blackboard course shells for FA2017 were created on July 18, 2017 after the completion of the cloud migration.

Summer 2017 courses will be archived from the separate cloud environment and migrated to the primary Blackboard site in mid-FA2017. Faculty will not need to export their summer content unless they require it for immediate use.

Returning faculty who have not used Blackboard since spring should consider the following before logging into the new cloud environment:

About Course Creation

Bb shells for FA2017 are available for all courses (designated as lecture, lab, field or discussion) listed in the UMBC Schedule of Classes (SOC), provided that there is an instructor of record listed. As new course sections and/or instructors are added to the SOC by Department Scheduling Coordinators, corresponding Bb shells are automatically generated overnight. 

Instructors who teach multiple sections of the same course will find those enrollments merged into one Bb course shell. These sections may be split upon request by an RT ticket, which we recommend submitting at least one week before the semester starts, if not as soon as courses are created in Blackboard.

Student enrollment in Bb mirrors the official registration in SA and updates hourly. However, courses are not accessible to students by default until the instructor of record makes them available.

Per DoIT’s March 8 and April 28 announcements, Blackboard engineers will migrate the primary UMBC Blackboard site (blackboard.umbc.edu) beginning at 12:01 AM on Friday, June 30, 2017, and lasting up to 7 days. Summer 2017 courses are hosted in a separate environment and no disruption is expected.

FYI: Please note that DoIT's Technology Support Center (TSC) will be closed July 1 and reopen on July 5.

The downtime window will allow Blackboard and UMBC to migrate all existing content, files, and database from the current hosting facilities to the new cloud infrastructure. Time is also allocated for DoIT staff to verify third-party integrations and to perform quality assurance testing.

TSC Student Consultant Job Description

Technology Support Center (TSC) student consultants are the first points of technical contact for the UMBC community and those who do well often go on to work in other areas of the Division of Information Technology (DoIT). Minimally, consultants are expected to provide initial triage and support for a wide-range of information technologies including accounts, hardware, instructional technologies, networking, software, telecommunications, and basic web development.

Responsibilities include, but are not limited to the following:

  • Provide technical assistance to users by phone, online and in person;
  • Answer TSC phones in a professional and courteous manner;
  • Create, update and resolve tickets in the Request Tracker (RT) ticketing system;
  • Create, update, suggest and recommend relevant FAQ articles to users (www.umbc.edu/faq);
  • Provide direct assistance to users on technical issues they cannot easily resolve on their own;
  • Complete in-person or online training about quality support as defined in umbc.edu/go/ticketrubric;
  • Respond to all work-related communications in a timely manner;
  • Escalate urgent problems to the Full-Time staff, as appropriate.

Student Disability Services (SDS) has continued to transition to more digital processes. They recently converted their traditional “pink form” faculty filled out with details on how to administer a student’s test (e.g., whether students could use a calculator, extended time, etc.). In the past, issues arose when instructors left fields blank or multiple emails had to be exchanged to clarify important information, which can now be required through the use of the campus Request Tracker (RT) ticketing system. The new digital process saves both time and paper.

For students who need testing administered, using a system like RT helps create a dynamic system and improves data tracking for tests. “We’re really excited to have this system because it streamlines how we take in tests,” said Laura Hesselton, Testing Coordinator for SDS.

 

“Required” fields on the new online form prevent SDS from needing to exchange multiple emails to clarify important information. The new form also allows professors to submit one form for multiple students rather than filling out multiple hand-written forms. Additionally, it offers faculty a secure online test submission alternative. Instead of dropping off materials in person, attachments included with the submission are automatically saved in a secure Box folder that only designated SDS staff can access. Other RT users on campus cannot view the test attachments or tickets.

Working with DoIT proved to be a positive experience for SDS. When creating the RT form, SDS went through several changes, creating the need for DoIT to help adapt to SDS’s workflow needs. “They were so patient with making all the changes and making sure it worked,” said Hesselton. “It was awesome.”
