<Title>Information about partial systems outage from Thursday 7/20</Title>

    <div class="html-content">Yesterday evening shortly after 10pm one of the main storage units that services myUMBC, on-campus mail and several other central services suffered a failure that caused these systems to be either taken off-line or respond slowly. <div><br></div><div>DoIT staff worked on the system and we were able to move over to a backup unit and restored all services shortly after 1:00am. </div><div><br></div><div>Any users on the affected mail system may have seen a delay in the delivery of mail, but all messages would have been queued up and delivered once service was restored. </div><div><br></div><div>We apologize for any inconvenience this caused, if you have any questions or concerns about this outage or any of the systems affected, please feel free to contact me for additional information. </div><div><br></div><div>Thanks and have a great weekend,</div><div><br></div><div>Damian Doyle</div><div>Senior Director of Enterprise Infrastructure</div><div>DoIT - UMBC</div></div>

    <div class="html-content"><p>Blackboard course shells for FA2017 <a href="https://wiki.umbc.edu/x/eYHGAw" rel="nofollow external" class="bo"> were created</a> on July 18, 2017 after the <a href="http://doit.umbc.edu/news/?id=68892" rel="nofollow external" class="bo"> completion of the cloud migration</a>.</p>
    <p>Summer 2017 courses will be archived <a href="http://doit.umbc.edu/news/?id=67520" rel="nofollow external" class="bo"> from the separate cloud environment</a> and migrated to the primary Blackboard site in mid-FA2017. Faculty will not need to <a href="https://wiki.umbc.edu/x/FIBaAQ" rel="nofollow external" class="bo"> export</a> their summer content unless they require it for immediate use.</p>
    <p>Returning faculty who have not used Blackboard since spring should consider the following before logging into the new cloud environment:</p>
    <ul>
    <li>Clear your Internet browser cache and cookies using <a href="https://wiki.umbc.edu/x/gIAc" rel="nofollow external" class="bo"> these step-by-step instructions</a>.</li><li>Report any technical issues <a href="http://my.umbc.edu/help" rel="nofollow external" class="bo"> via RT ticket</a>. If possible, please include screen captures or error messages.</li>
    <li>Familiarize yourself with Blackboard’s <a href="https://wiki.umbc.edu/x/jAKJAg" rel="nofollow external" class="bo"> new features &amp; updates</a></li>

    <p><strong>About Course Creation</strong></p>
    <p>Bb shells for FA2017 are available for all courses (designated as lecture, lab, field or discussion) listed in the <a href="http://my.umbc.edu/go/schedule" rel="nofollow external" class="bo"> UMBC Schedule of Classes (SOC)</a>, provided that there is an <a href="http://www.umbc.edu/blogs/oit-news/archives/2010/08/how_new_employe_1.html" rel="nofollow external" class="bo"> instructor of record</a> listed. As new course sections and/or instructors are added to the SOC by <a href="https://docs.google.com/a/umbc.edu/document/d/1rwm_adJUvAP3cxL-QCrb56n9ql4xrR8FHd9_1Cw0vJI/edit?usp%3Dsharing" rel="nofollow external" class="bo"> Department Scheduling Coordinators</a>, corresponding Bb shells are automatically generated overnight. </p>
    <ul>
    <li>If you are an instructor, and your name is not associated with the course you are teaching in the <a href="http://my.umbc.edu/go/schedule" rel="nofollow external" class="bo"> SOC</a>, please see your <a href="https://docs.google.com/a/umbc.edu/document/d/1rwm_adJUvAP3cxL-QCrb56n9ql4xrR8FHd9_1Cw0vJI/edit?usp%3Dsharing" rel="nofollow external" class="bo"> Departmental Scheduling Coordinator</a> to resolve the issue. Once you are listed in the <a href="https://my.umbc.edu/go/schedule" rel="nofollow external" class="bo"> SOC</a>, your Bb course shell will be created automatically. </li>
    <li>If you and your <a href="https://docs.google.com/a/umbc.edu/document/d/1rwm_adJUvAP3cxL-QCrb56n9ql4xrR8FHd9_1Cw0vJI/edit?usp%3Dsharing" rel="nofollow external" class="bo"> Department Scheduling Coordinator</a> believe you are correctly assigned as the instructor of record in the SOC and you do not see your course shell in Blackboard, please submit a Request Tracker (RT) ticket via <a href="https://my.umbc.edu/help" rel="nofollow external" class="bo"> my.umbc.edu/help</a>.</li>
    <li>If you need a Bb shell for a research or independent study course, please submit a <a href="http://www.umbc.edu/doit/blackboard/requestbbshell.html" rel="nofollow external" class="bo"> new course request</a>.</li>
    </ul>
    <p>Instructors who teach multiple sections of the same course will find those enrollments merged into one Bb course shell. These sections may be split upon <a href="https://my.umbc.edu/go/request-help" rel="nofollow external" class="bo"> request by an RT ticket</a>, which we recommend <a href="https://wiki.umbc.edu/x/d4HGAw" rel="nofollow external" class="bo"> submitting at least one week</a> before the semester starts, if not as soon as courses are created in Blackboard.</p>
    <p>Student enrollment in Bb mirrors the official registration in SA and updates hourly. However, courses are not accessible to students by default until the instructor of record <a href="https://wiki.umbc.edu/pages/viewpage.action?pageId%3D1867862" rel="nofollow external" class="bo"> makes them available</a>.</p>

<Title>Technology Support Center To Be Closed July 1-4</Title>

<Title>Blackboard Down for Cloud Migration June 30 - July 8</Title>

    <p>Per DoIT’s <a href="http://doit.umbc.edu/news/?id=66298" rel="nofollow external" class="bo">March 8</a> and <a href="http://doit.umbc.edu/news/?id=67520" rel="nofollow external" class="bo">April 28</a> announcements, Blackboard engineers will migrate the primary UMBC Blackboard site (blackboard.umbc.edu) <strong>beginning at 12:01 AM on Friday, June 30, 2017, and lasting up to 7 days</strong>. Summer 2017 courses are <a href="http://doit.umbc.edu/news/?id=67520" rel="nofollow external" class="bo">hosted in a separate environment</a> and <em>no disruption is expected</em>.</p><p><strong>FYI: </strong>Please note that DoIT's <a href="http://doit.umbc.edu/tsc" rel="nofollow external" class="bo">Technology Support Center</a> (TSC) <a href="http://doit.umbc.edu/news/?id=68768" rel="nofollow external" class="bo">will be closed July 1 and reopen on July 5</a>.</p><p>The downtime window will allow Blackboard and UMBC to migrate all existing content, files, and database from the current hosting facilities to <a href="http://doit.umbc.edu/news/?id=66298" rel="nofollow external" class="bo">the new cloud infrastructure</a>. (Search for TSC Student Consultant.)</p><p><br></p><h3>TSC Student Consultant Job Description</h3><p>Technology Support Center (TSC) student consultants are the first points of technical contact for the UMBC community and those who do well often go on to work in other areas of the Division of Information Technology (DoIT). Minimally, consultants are expected to provide initial triage and support for a wide-range of information technologies including accounts, hardware, instructional technologies, networking, software, telecommunications, and basic web development.</p><h4>Responsibilities include, but are not limited to the following:</h4><ul><li>Provide technical assistance to users by phone, online and in person;</li><li>Answer TSC phones in a professional and courteous manner;</li><li>Create, update and resolve tickets in the Request Tracker (RT) ticketing system;</li><li>Create, update, suggest and recommend relevant FAQ articles to users (<a href="http://www.umbc.edu/faq">www.umbc.edu/faq</a>);</li><li>Provide direct assistance to users on technical issues they cannot easily resolve on their own;</li><li>Complete in-person or online training about quality support as defined in umbc.edu/go/ticketrubric;</li><li>Respond to all work-related communications in a timely manner;</li><li>Escalate urgent problems to the Full-Time staff, as appropriate.</li></ul><h4>Required Skills and Experience</h4><ul><li>Demonstrated ability to effectively communicate by phone or in person.</li><li>Demonstrated writing ability.</li><li>Demonstrated ability to achieve successful outcomes in handling difficult situations and customers.</li><li>Demonstrated analytical and troubleshooting skills.</li><li>Ability &amp; willingness to learn coupled with a clear understanding of one’s technical abilities, so as to triage and escalate an issue that leads to an effective solution for the user.</li></ul></span></div>

<Title>SDS Revamps Their Test Submission Process With RT</Title>

    <div class="html-content"><span><p><a href="http://my.umbc.edu/groups/doit/posts/65086" rel="nofollow external" class="bo"><span>Student Disability Services (SDS) has continued to transition to more digital processes</span></a><span>. They recently converted their traditional “pink form” faculty filled out with details on how to administer a student’s test (e.g., whether students could use a calculator, extended time, etc.). In the past, issues arose when instructors left fields blank or multiple emails had to be exchanged to clarify important information, which can now be required through the use of the campus </span><a href="http://sds.umbc.edu/faculty-form-for-accommodated-test-submission-pink-form/" rel="nofollow external" class="bo"><span>Request Tracker (RT) ticketing system</span></a><span>. The new digital process saves both time and paper.</span></p><p> </p><h3><span>“...it streamlines how we take in tests.”</span></h3><p> </p><p><span>For students who need testing administered, using a system like RT helps create a dynamic system and improves data tracking for tests. “We’re really excited to have this system because it streamlines how we take in tests,” said Laura Hesselton, Testing Coordinator for SDS.</span></p><p> </p><p><span>“Required” fields on the new online form prevent SDS from needing to exchange multiple emails to clarify important information. The new form also allows professors to submit one form for multiple students rather than filling out multiple hand-written forms. Additionally, it offers faculty a secure online test submission alternative. Instead of dropping off materials in person, attachments included with the submission are automatically saved in a secure Box folder that only designated SDS staff can access. Other RT users on campus cannot view the test attachments or tickets.</span></p><p> </p><h3><span>“They were so patient with making all the changes and making sure it worked,”</span></h3><p> </p><p><span>Working with DoIT proved to be a positive experience for SDS.
