<Title>Campus Closure on December 22, 2017</Title>
<Tagline>Happy Holidays...An University Holiday Has Been Granted</Tagline>

    <div class="html-content"><p>You should have received a holiday message, from President Hrabowski and Provost Rous, which stated that the University will be closed on Friday, December 22, 2017.  As a result of the closure, the leave day will be processed as a University Holiday for leave eligible employees.</p><p>Please share the timekeeping guidelines below with the employees in your department. These guidelines <strong><u>do not</u></strong> apply to Contingent I, Student and Adjunct Faculty employees.</p><p>1. Employees will <strong>manually record the HOL code</strong> and the corresponding hours on the time sheet (electronic time sheets will <strong>not</strong> automatically populate the leave code or hours for this date).</p><p>2.  Employees who were originally scheduled off on December 22nd will record HOL on the time sheet and <strong>not use</strong> their accrued leave for the day.</p><ul><li><div>If an employee has already submitted his/her time sheet with accrued leave usage (ie. annual, personal, sick, or compensatory time), for December 22nd, the time sheet will need to be rejected by the time sheet approver so the employee may modify the leave usage to HOL and resubmit the time sheet for approval.</div></li><li><div>Eligible holiday hours are based on an employee’s FTE (full-time equivalency) and not the employee’s work schedule for the day.  Holiday hours are pro-rated for part-time employees.  For example:  An employee whose FTE is 100% receives 8 hours of holiday; an 80% employee receives 6.40 hours of holiday; a 50% employee receives 4.0 hours of holiday; etc.</div></li></ul><p>3.  Employees who will be required to work on December 22nd will record duty day (faculty and exempt) OR time in/time out (nonexempt) for the day.  The holiday will be processed and reflected in the holiday leave balance as a banked day to use at a later time. Please note that a Holiday Waiver Form will need to be submitted to allow the holiday to be carried over into the 2018 calendar year and not forfeited.</p><p><em><em><strong>Reminder:</strong></em></em> Although employees may submit time sheets early, time sheet approvers do not have the ability to approve time sheets before the pay period has ended. Approvers may only reject a time sheet prior to the end of the pay period.</p><p>Again, please share this information with your departmental employees. Such occasions include but is not limited to inclement weather. As the winter season approaches, the Department of Human Resources would like to remind employees of the guidelines and procedures surrounding the eligibility of Administrative Leave (ADM) for proper time recording as it relates to inclement weather.</div><div><br></div><div>Please refer to the attached document specifying the guidelines for each scenario relating to the campus shedule due to inclement weather. <Title>2018 Flexible Spending Limits have Changed</Title>

    <div class="html-content"><div>The IRS and State Health Division has just issued a notice that the maximum annual election for the healthcare <a href="http://hr.umbc.edu/flexible-spending-accounts/" rel="nofollow external" class="bo">Flexible Spending Account (FSA</a>) will increase to $2,650 (from $2,600) effective January 1, 2018.  The maximum biweekly amount will now be $110.41 per paycheck.</div><div><br></div><div>What does this mean to you? If you have already submitted your​ health care flexible spending account​ enrollment elections for 2018, you can go back into the <a href="http://dbm.maryland.gov/benefits/Documents/CY18_Active_Enrollment_Sheet.pdf" rel="nofollow external" class="bo">IVR system</a> and re-elect your healthcare FSA to the new maximum amount (completely voluntary) up until the end of the day on November 15, 2017.  </div><div><br></div><div>If you elected less than the maximum and are satisfied with that election you do not have to do anything.​  If you have questions please contact <a href="mailto:hrbenefits@umbc.edu">hrbenefits@umbc.edu</a></div><div><br></div><div>Remember:  Open Enrollment runs through November 15, 2017.  If you currently have an FSA and want one for next year, its vital that you call the <a href="http://dbm.maryland.gov/benefits/Documents/CY18_Active_Enrollment_Sheet.pdf" rel="nofollow external" class="bo">IVR</a> before the open enrollment deadline.  </div></div>

    <div class="html-content"><div>The Open Enrollment period for changes to your 2018 benefits begins <strong>today</strong> and runs through November 15th!  </div><div> </div><div>Here are some things to expect with regards to this year’s Open Enrollment:</div><div><br></div><div><ul><li>All open enrollment rates, forms, and information are now active on the HR Website under Benefits:  <a href="http://hr.umbc.edu/benefits/open-enrollment/" rel="nofollow external" class="bo">Open Enrollment</a></li><li>Have Questions about Open Enrollment or want an understanding of plan options?  Visit one of your Open Enrollment Information Sessions on <a href="https://my.umbc.edu/groups/training/events/53407" rel="nofollow external" class="bo">October 24th</a> and <a href="https://my.umbc.edu/groups/training/events/53408" rel="nofollow external" class="bo">November 13th</a></li><li>Employees will use the <a href="http://dbm.maryland.gov/benefits/Documents/CY18_Active_Enrollment_Sheet.pdf" rel="nofollow external" class="bo">Interactive Voice Response (IVR)</a> system to make changes to their benefits and/or to sign up for Flexible Spending for 2018</li><li>Employee who wish to have Flexible Spending for 2018 <u><strong>must</strong></u> call the IVR during open enrollment </li><li>Employees who do not have benefits but wish to enroll can visit the Open Enrollment site to get forms, rates, and the benefits guide.</li><li>Individual Open Enrollment Packets were distributed between September 28th - October 10th to faculty and staff <u><strong>who currently have benefits</strong></u>.</li><li>Contractual Employees &amp; Retirees should have received their Open Enrollment Materials to their home.</li><li>We have a new Prescription Vendor:  Caremark/CVS Health effective January 1, 2018.  Employees currently enrolled in prescription drug coverage will automatically be enrolled with Caremark.  You don't have to use a CVS pharmacy, Caremark has a large network of participating pharmacies.  Please see the <a href="http://info.caremark.com/stateofmaryland" rel="nofollow external" class="bo">Caremark website</a> for their pharmacy locator.</li><li><a href="http://hr.umbc.edu/benefits/statewellnessprogram/" rel="nofollow external" class="bo">State Wellness Activities</a> completed in 2017 will rollover to 2018. </li><li>2018 Premiums (Rates) are now posted on the HR website under <a href="http://hr.umbc.edu/benefits/open-enrollment/" rel="nofollow external" class="bo">Open Enrollment</a>. </li></ul></div><div>Thank you in Advance!  </div></div>
