<Title>ATTN: Banked Holiday Reminder!</Title>

    <div class="html-content">Good Morning,<div><br></div>
    <div>This is a reminder from the AAOU SSC that any new employees who started working <em>after</em> the first banked holiday (Presidents Day) will need to <strong>plan to use personal or vacation leave for any banked holidays in which they were not yet employed with the University. </strong>
    </div>
    <div><br></div>
    <div>It is very important timesheet approvers review all timesheets for accurate recording of leave during the winter break especially for employees hired this calendar year that may not have banked all holidays that are used during UMBC's winter break closure.</div>
    <div><br></div>
    <div>Below are the three banked holidays. The first date listed on the left hand side is the date we observe them during winter break, and the date to the right of the holiday is the actual date of the holiday in which the employee would have needed to be employed on or before in order to bank that holiday for use during winter break:</div>

    <em>Example:</em> Presidents Day 2/20/23 was our first banked holiday of this calendar year. It will be observed on<strong> December 26, 2023</strong> during the winter break. If an employee was not employed with UMBC on <strong>Feb 20, 2023 </strong>or prior, they would not have received that banked holiday and will therefore need to record leave <strong><u>(either personal or vacation) </u></strong>on 12/26/23 and can not list HOL on their timesheet for that day.</div>

<Title>REMINDER: Early Timesheet Approvals for Period Ending 12/16</Title>

    <p>Good Morning,</p>
    <p><strong><em>Please make sure to review this important update from HR and to plan accordingly for these tight turnaround times ahead:</em></strong></p>
    <p>Due to the upcoming winter holiday break and early file submissions to the Central Payroll Bureau, the Payroll and HRIS units are required to meet strict and compressed processing deadlines. As a result, the deadline for timesheet approvals has been impacted for the period ending <strong>12/16/2023 (timesheets for pay period 2024-13).</strong></p>
    <p>Timesheet submissions and approvals for pay period <strong><u>2024-13 (ending 12/16/23) are due by 5 pm on Monday, December 18th, 2023. </u></strong>Although timesheets may be submitted early, the approver may NOT approve the timesheet before the pay period has ended (not prior to December 17, 2023). </p>
    <p><u>Due to the extremely tight ETS approval deadline</u>, timesheet approvers must coordinate with their employees to ensure timesheets are submitted in enough time for review and approvals. Timesheet approvers who will not be available to review and approve timesheets should communicate with the payroll preparer and alternate approver accordingly. </p>
    <p>Late timesheet submissions and approvals will have a critical impact to hourly employees' pay, employees earning overtime, and leave information in time entry for PR14. Timesheet data for pay period 13 must be approved in order to load into time entry for payroll 14. </p>
    <p>Time entry for <strong>PR14</strong> is a <u><strong>ONE DAY</strong></u> time entry and is scheduled to open on <strong>Tuesday, December 19, 2023. </strong></p>

<Title>ATTN: PAW Requisitions Failing Validation - AAOU SSC Updates</Title>

    <div>We received notice this afternoon that communication between PAW and PeopleSoft is interrupted for the time being. At this time, the AAOU SSC will not be processing any Requisitions, Payment Requests, or Invoices into PAW until we receive notification that the issue has been resolved and we can resume entry into the PAW system. </div>
    <div><br></div>
    <div>This may result in a delay of any existing or future requests submitted to us. We apologize in advance but will resume processing as soon as this campus wide issue has been resolved. </div>

<Title>*Important* Prehire form process update</Title>

    <p>Good Afternoon,</p>
    <p>A recent change has been made to the prehire process, by Human Resources, which is going to impact the way prehire forms are currently able to be handled. The recent update by HR is now requiring prehire forms to be routed through the HR Critical Payroll/HRIS Transaction Portal, which inherently requires the payroll preparer and payroll approver names and individual email addresses.</p>
    <p>As well, we have received recent guidance from HR that prehire forms are now being accepted and processed alongside or in coordination with onboarding documentation. In the past, we have been advised that the submission of both prehire forms and new hire documentation could result in duplicate EmplIDs being created, which appears to no longer be the case.</p>
    <p>As a result, effective immediately, the AAOU SSC will be taking back the processing of prehire forms. Our team will start routing prehire forms on behalf of our departments during the processing of any new hire requests that require a full new hire onboarding packet and I-9 form to be completed. This will ensure employees have credentials created, even if there is a delay in the hiring or I-9 process.</p>
    <p>If you need credentials created for a future hire, for whom you cannot submit a new hire ticket, or if you have questions about this process update, please submit a general inquiry ticket, and we will be happy to assist you.</p>

    <div class="html-content">Good Afternoon,<div>This is a friendly notice that we have updated the HR Paperwork, Payment Authorization, and Timesheet deadline calendars on our website to reflect deadlines through March of 2024. </div>

    <div>Please note the following special deadline circumstances, which represent condensed or altered RT request submission windows in the upcoming months.</div>
    <div><br></div>
    <div><strong><u>PR2024-013 &amp; 2024-014</u></strong></div>
    <div>
    <u>HR Paperwork Deadlines</u>: The HR paperwork deadline for <u>both</u> payroll 2024013 and 2024014 is 11/14/2023. The effective dates for these two periods is as follows:</div>
    <div><br></div>
    <div>PR2024-013: 12/03/2023 - 12/16/2023</div>
    <div>PR2024-014: 12/17/2023 - 12/30/2023</div>
    <div><br></div>
    <div>If you have action requests that have effective dates within this range, please ensure those requests are submitted no later than 11/14/2023. Please be mindful of any questions or requests for additional support from our staff during this time to prevent delays in processing paperwork.</div>

    <div><strong><u>PR2024-014</u></strong></div>
    <div>
    <u>Temporary Timesheet Deadlines</u>: Due to the condensed time entry processing period leading up to the holiday campus closure, all temporary timesheets related to PR2024-014 must be approved and submitted via RT no later than 12/15/2023 in order to be processed timely.</div>

    <div><u><strong>PR2024-016 (1/14/2024 - 1/27/2024)</strong></u></div>
    <div>
    <u>HR Paperwork Deadlines: </u>The deadline for actions with effective dates for PR2024-016 must be submitted no later than 12/18/2023 to allow our staff adequate time to process all requests timely.</div>
