<Title>December Updates &amp; Reminders</Title>

    <div class="html-content"><span><span><span><p><span>The fall semester is coming to a close and we wanted to share important information about end of semester closing. </span></p>
    <p><span><br></span></p>
    <h3><span>Important Dates</span></h3>
    <ul>
    <li><span>December 6, 2023 at 10 p.m. | 24 Hour Quiet Hours Begin</span></li>
    <li>
    <span>December 8, 2023 | </span><a href="https://umbc.edu/go/housing" rel="nofollow external" class="bo"><span>Late Stay Requests Deadline</span></a>
    </li>
    <li><span>December 20, 2023 | 8-Month Communities close at 9 p.m. for Winter Break</span></li>
    </ul>
    <p></p>
    <div><span><span><span><span><h3><span>Winter Break &amp; Closing Inspections</span></h3>
    <div><span><p><span>Eight-month communities close for Winter Break on December 20, 2023 at 9:00 p.m. and reopen on Sunday, January 28, 2024 at 9 a.m.  Students are expected to leave 24 hours after their last exam, or by December 20, 2023 at 9 p.m., whichever comes first.</span></p>
    <p><span> </span></p>
    <p><span>Students in 8-month communities do not have to remove all of their items, but are expected to vacate and complete the below checklist to help ensure the overall health &amp; safety of their room and personal belongings:</span></p>
    <ul>
    <li><p><span>Clean their bathroom and personal spaces well. To avoid a stuffy bathroom, leave the bathroom door open. Make sure it’s okay with suitemates before leaving the bathroom door(s) unlocked.</span></p></li>
    <li><p><span>Remove and dispose of all trash in a trash room or a dumpster.</span></p></li>
    <li><p><span>Set the heat between 68-72 degrees.</span></p></li>
    <li><p><span>Unplug all appliances and extension cords from the wall. If approved appliances are left plugged in, make sure the electrical connections are safe: not running under rugs, hanging loosely out of the wall, or plugged into a thin extension cord.</span></p></li>
    <li><p><span>Remove fish and/or plants during winter break.</span></p></li>
    <li><p><span>Take valuables home including medicine, passports, pet fish, and any other items you will need over break. Communities will be inaccessible during break.</span></p></li>
    <li><p><span>Turn off water. Make sure faucets are not dripping.</span></p></li>
    <li><p><span>Turn off lights and bathroom exhaust fans.</span></p></li>
    <li><p><span>Close and lock all windows and doors.</span></p></li>
    <li><p><span>Close blinds on ground floor rooms; leave blinds up on all other floors.</span></p></li>
    <li><p><span>Clean your refrigerator and dispose of perishable items. </span></p></li>
    <li><p><span>Defrost and prop microfridge doors open during winter break.</span></p></li>
    <li><p><span>Remove all remaining personal items from the floor and place them on elevated surfaces. Reminder: Renter’s Insurance is strongly recommended in the event of flood, fire, or theft.</span></p></li>
    <li><p><span>Report facilities concerns to </span><a href="https://umbc.assetworks.cloud/ready" rel="nofollow external" class="bo"><span>FXIT</span></a><span>.</span></p></li>
    <li><p><span>Update your shipping/mailing address; mail will not be received/held during the break closure.</span></p></li>
    </ul>
    <p><span>RAs will conduct an inspection in each 8-month community. Failure to properly prepare your space and vacate by the deadline may result in student conduct action. For more information about break closing please contact your RA or Community Director. </span></p>

    <span><span><span><h3><span>Late Stay Requests</span></h3>
    <h3><span><br></span></h3>
    <p><span>Residents may be eligible to apply for late stay if their permanent address is more than 50 miles (Distance D) from UMBC and they are:</span></p></span></span></span><div><span><ul>
    <li><p><span>Graduating,</span></p></li>
    <li><p><span>Have a late exam ending after 9 p.m. on December 20, 2023; or</span></p></li>
    <li><p><span>Volunteering with commencement</span></p></li>
    </ul>
    <p><span>Residents approved for late stay will be expected to depart by December 21, 2023 at 10 a.m.</span></p>
    <p><span> </span></p>
    <span>Late stay requests are due by December 8, 2023 at 5 p.m. and are available in the Housing Portal (</span><a href="http://umbc.edu/go/housing" rel="nofollow external" class="bo"><span>umbc.edu/go/housing</span></a><span>).</span></span></div>
    <div><span><span><br></span></span></div>
    <div><span><strong><span><span><h3><span>Requests for Spring Housing Release</span></h3></span></span></strong><p><span>As a current resident you acknowledged a housing license (contract) that is for the entire academic year. If you do not plan to return to housing in the Spring Semester please review your options and complete the outlined instructions.</span></p>
    <ul>
    <li><p><span>Not Returning to UMBC (Transfer, Withdraw and/or Leave): Students who do not plan to return to UMBC are not automatically released from the housing license. You must complete the </span><a href="https://umbc.starrezhousing.com/StarRezPortalX/D7963854/13/179/Forms___Requests-Forms___Requests" rel="nofollow external" class="bo"><span>Petition Request form on the Housing Portal</span></a><span> as soon as possible.</span></p></li>
    <li><p><span>Extenuating Circumstance Preventing Return to Housing (Medical, Financial, etc.): Students who plan to attend UMBC in the Spring but are unable to return to on-campus housing must complete the </span><a href="https://umbc.starrezhousing.com/StarRezPortalX/D7963854/13/179/Forms___Requests-Forms___Requests" rel="nofollow external" class="bo"><span>Petition Request form on the Housing Portal</span></a><span> as soon as possible. License releases are extraordinary, not automatic, and will be reviewed, with appropriate supporting documentation. </span></p></li>
    <li><p><span>December Graduates &amp; Spring Study Abroad Students: Residents who have applied and are approved for December graduation or Spring Study Abroad are automatically released from the terms of the license.  You are not expected to complete a petition form. However, Walker Avenue residents should contact the</span><a href="https://walkeravenueapts.com/contact/" rel="nofollow external" class="bo"><span> WAA Management Office</span></a><span> via email if they did not already.</span></p></li>
    </ul>

    <div><span><strong><span><span><h3><span>Spring Registration &amp; Housing Eligibility </span></h3></span></span></strong><p><span>Spring registration is currently open to eligible students.  If you are planning to continue to live on-campus, you should be working with your Academic Advisor to enroll as a full-time student for the Spring semester.  Automatic exceptions to that policy will be made for the following groups:</span></p>
    <ul>
    <li><p><span>Spring 2024 Graduates | Students registered to graduate at the end of Spring 2024 that do not need full-time status to meet graduation requirements, will be granted an exception to remain in housing at part-time status for the semester.  You do not need to contact Residential Life; instead please make sure you complete the Graduation Application (</span><a href="https://registrar.umbc.edu/preparing-for-graduation/)" rel="nofollow external" class="bo"><span>https://registrar.umbc.edu/preparing-for-graduation/)</span></a><span> by the expressed deadline.</span></p></li>
    <li><p><span>Housing &amp; SDS Accommodation | Students with an approved accommodation from Student Disability Student (</span><a href="http://sds.umbc.edu/" rel="nofollow external" class="bo"><span>sds.umbc.edu</span></a><span>) to carry less than full-time credits will be granted an exception to remain in housing at part-time status, once we receive a copy of their accommodation letter. You do not need to contact Residential Life; please work directly with SDS.</span></p></li>
    </ul>
    <p><span>Students with outstanding fall semester balances over $250 may be ineligible to register for Spring courses and risk housing termination.  Residents with past due balances were emailed throughout November and provided the following information:</span></p>
    <ul>
    <li><p><span>Primary contacts for assistance in resolving account issues are Student Business Services (</span><a href="http://sbs.umbc.edu/" rel="nofollow external" class="bo"><span>umbc.edu</span></a><span>) and The Office of Financial Aid &amp; Scholarships (</span><a href="http://financialaid.umbc.edu/" rel="nofollow external" class="bo"><span>financialaid.umbc.edu</span></a><span>).</span></p></li>
    <li><p><span>If your account is not cleared or you are not granted a registration clearance by December 8, 2023, you will receive a Spring Housing Termination Notice and will be expected to vacate and remove all personal items by 9 p.m. on December 20, 2023.</span></p></li>

    <h3><span>Fall Break Closing and Health &amp; Safety Inspections</span></h3>
    <div><span><span><strong>Eight-month communities (Chesapeake, Erickson, Patapsco, Susquehanna, Harbor East Wing, and Harbor 2nd-5th Floors North) close for Thanksgiving Break on Wednesday, November 22, 2023 at 9:00 p.m. and reopen on Sunday, November 26, 2023 at Noon. </strong></span></span></div>
    <div><span><span><strong><br></strong></span></span></div>
    <div><span><p><span>Students in 8-month communities are expected to vacate and complete the below checklist to help ensure the overall health &amp; safety of your room and personal belongings:</span></p>
    <ul>
    <li><p><span>Clean your bathroom and personal spaces well. </span></p></li>
    <li><p><span>Remove and dispose of all trash in a trash room or a dumpster.</span></p></li>
    <li><p><span>Turn the heat to 68-72 degrees.</span></p></li>
    <li><p><span>Unplug all appliances and extension cords from the wall, with the exception of refrigerators and fish tanks.</span></p></li>
    <li><p><span>Feed your fish and water your plants.</span></p></li>
    <li><p><span>Pack medications and other necessities you might need during break.</span></p></li>
    <li><p><span>Turn off water. </span></p></li>
    <li><p><span>Turn off lights and bathroom exhaust fans.</span></p></li>
    <li><p><span>Close and lock all windows and doors.</span></p></li>
    <li><p><span>Close blinds on ground-level floor rooms; leave blinds up on all other floors.</span></p></li>
    <li><p><span>Report facilities concerns to </span><a href="https://umbc.assetworks.cloud/ready" rel="nofollow external" class="bo"><span>FXIT</span></a><span> (410-455-3948).</span></p></li>
    </ul>

    <h3><span>Room Freeze &amp; End of Fall Semester Room Changes</span></h3>
    <div><span><p><span><strong>Fall room assignments are frozen beginning November 30, 2023</strong> to allow Residential Life staff to prepare for any upcoming transitions. Room changes will not be permitted during the remainder of the semester.</span></p>

    <p><span>If you are looking to change rooms for the Spring Semester, please complete the </span><a href="https://umbc.starrezhousing.com/StarRezPortalX/D7963854/13/179/Forms___Requests-Forms___Requests" rel="nofollow external" class="bo"><span>Room Change Request Form on the Housing Portal</span></a><span>. <strong>There is a firm deadline of November 30, 2023 at 5 p.m. to submit the ESRC request form</strong>.  <em>Late applications will not be considered.</em></span></p>

    <p><span>Submission of an ESRC application does not guarantee approval. Priority for ESRC approval is as follows: students with an accommodation approval from Student Disability Services, and students approved for an administrative move by Residential Life.  </span></p>

    <p><span>If approved:</span></p>
    <ul>
    <li><p><span>Residents moving to a 8-month community are expected to vacate completely by 9 p.m. on December 20, 2023 and will move into their new room on Sunday, January 28, 2024 at 9 a.m.</span></p></li>
    <li><p><span>Residents moving to a 9-month community are expected to relocate on December 21, 2023 between 10 a.m.-1 p.m.; no exceptions will be made.</span></p></li>

    <h3><span>Spring Semester Housing Petitions</span></h3>
    <p><span>Current residents acknowledged a housing license (contract) that is for the entire academic year. If you do not plan to return to housing in the Spring Semester please review your options and complete the outlined instructions.</span></p>

    <li><p><span><strong>Not Returning to UMBC</strong> (Transfer, Withdraw and/or Leave): Students who do not plan to return to UMBC are not automatically released from the housing license. You must complete the </span><a href="https://umbc.starrezhousing.com/StarRezPortalX/D7963854/13/179/Forms___Requests-Forms___Requests" rel="nofollow external" class="bo"><span>Petition Request form on the Housing Portal</span></a><span> before November 30, 2023.</span></p></li>
    <li><p><span><strong>Extenuating Circumstance Preventing Return to Housing</strong> (Medical, Financial, etc.): Students who plan to attend UMBC in the Spring but are unable to return to on-campus housing must complete the </span><a href="https://umbc.starrezhousing.com/StarRezPortalX/D7963854/13/179/Forms___Requests-Forms___Requests" rel="nofollow external" class="bo"><span>Petition Request form on the Housing Portal</span></a><span> before November 30, 2023.  License releases are extraordinary, not automatic, and will be reviewed, with appropriate supporting documentation. </span></p></li>
    <li><p><span><strong>December Graduates &amp; Spring Study Abroad Students</strong>: Residents who have applied and are approved for December graduation or Spring Study Abroad are automatically released from the terms of the license.  You are not expected to complete a petition form.     <h6><span><strong>Mail &amp; Package Reminders</strong></span></h6>
    <p><span>Residential students are encouraged to have mail and packages delivered directly to their residential community during the academic year. All residents are assigned a mailbox and combination that they will share with their roommate(s). If you have misplaced your combination you can ask the Community Desk for assistance. </span></p>
    <p><strong><br></strong></p>
    <p><span>Mail and packages that are not addressed for a current residential student and/or a residential facility may be refused by staff at </span><a href="http://campuscard.umbc.edu/" rel="nofollow external" class="bo"><span>Campus Card &amp; Mail Services</span></a><span>, </span><a href="https://www2.umbc.edu/centralreceiving/" rel="nofollow external" class="bo"><span>Central Receiving</span></a><span>, or Residential Life community desks.</span></p>
    <p><span> </span></p>
    <p><span>Commonly, students report that they have received notice from the shipper that their package has been delivered, but it is not immediately available for in-community pick up. This is most often due to misdelivery of packages by third-party carriers. For this reason, we highly encourage students to include the name of their residential community desk in the shipping address to ensure packages are directed to their communities rather than </span><a href="https://www2.umbc.edu/centralreceiving/" rel="nofollow external" class="bo"><span>Central Receiving</span></a><span> or another UMBC building.</span></p>
    <p><span> </span></p>
    <p><span>When items are misdelivered by carriers, we ask for student's patience as </span><a href="http://campuscard.umbc.edu/" rel="nofollow external" class="bo"><span>Campus Card &amp; Mail Services</span></a><span>, </span><a href="https://www2.umbc.edu/centralreceiving/" rel="nofollow external" class="bo"><span>Central Receiving</span></a><span>, and Residential Life staff work to redirect, deliver, and log packages appropriately. This can take up to 3 business days.</span></p>

    <h6><span><strong>Guests &amp; Visitors</strong></span></h6>
    <p><span>You are welcome to have guests, but for the safety and comfort of the residential community, residence halls and apartments are locked 24 hours and only accessible to residents of that community and University officials. </span></p>
    <p><span>If you plan to have a guest visit it is your responsibility to:</span></p>
    <ul>
    <li><p><span>Meet them at the entrance of your building</span></p></li>
    <li><p><span>Sign them in at your Community Desk each time they enter the building</span></p></li>
    <li><p><span>Sign them out at your Community Desk each time they leave the buildings</span></p></li>
    <li><p><span>Accompany your guest when they are with you</span></p></li>
    <li><p><span>As a reminder, a host can only have up to 4 guests signed in at a time</span></p></li>

    <h6><span><strong>Room Change Options</strong></span></h6>
    <p><span>For the fall semester, opportunities are very limited as we are relatively full this semester.  Below is some information about room change options and recommendations.</span></p>
    <p><strong><br></strong></p>
    <p><span>Room Swaps</span></p>
    <p><span>Students interested in making a mutual swap must submit an </span><a href="https://reslife.umbc.edu/contact-us/" rel="nofollow external" class="bo"><span>RT Ticket</span></a><span>, indicating with whom they would like to swap rooms.  Once Residential Life receives the requests from all parties involved in the swap, they will review and send the students updated room assignment and room change instructions to their UMBC email.</span></p>
    <p><strong><br></strong></p>
    <p><span>End of Semester Room Changes</span></p>
    <p><span>Students looking to change rooms for the Spring Semester, should contact their Community Director about opportunities for End of Semester Room Changes (ESRC) during the month of November.</span></p>
    <p><span> </span></p>
    <p><span>If their Community Director believes they are eligible for an ESRC, they may be issued the ESRC Application.  There is a firm deadline of November 30 at 11:59PM to submit the ESRC application.  Late applications will not be considered.</span></p>
    <p><span> </span></p>
    <p><span>Submission of an ESRC application does not guarantee approval. Priority for ESRC approval is as follows: students with an accommodation approval from Student Disability Services, and students approved for an administrative move by Residential Life.</span></p>
    <p><strong><br></strong></p>
    <p><span>Roommate Conflicts</span></p>
    <p><span>Residents experiencing a roommate conflict and those seeking a room change during the semester are encouraged to first seek assistance from their RA or Community Director before a room change will be considered.</span></p>
    <p><span> </span></p>
    <p><span>If the Community Director determines that a room change is appropriate, they will provide you with options and next steps based on the availability of space. When possible, a new housing assignment will be made to an existing vacancy.</span></p>
    <p><strong><br></strong></p>
    <h6><span>Health &amp; Safety Inspections</span></h6>
    <p><span>Residential Life values the co-creation of a safe environment in every residential community. It is the responsibility of every resident to ensure that they are contributing to a safe and healthy environment in their residence by:</span></p>
    <ul>
    <li><p><span>committing to community standards set at the beginning of each year with their floor</span></p></li>
    <li><p><span>reviewing and adhering to the </span><a href="https://umbc.app.box.com/file/995236250859?v=rAndrAY22-23" rel="nofollow external" class="bo"><span>Residential Life Rights and Responsibilities Guide,</span></a><span> </span></p></li>
    <li><p><span>submitting requests for </span><a href="https://fxit.umbc.edu/" rel="nofollow external" class="bo"><span>facility maintenance </span></a></p></li>
    </ul>
    <p><span><br></span></p>
    <p><span>It is the responsibility of Residential Life staff to educate residents through positive, personal contact,  maintain the residential facilities and conduct health and safety checks in residential rooms intermittently throughout the semester to identify health and safety issues in a timely way. These issues could include facility issues, fire safety, and the presence of prohibited items. </span></p>
    <p><span><br></span></p>
    <p><span>This semester, Residential Life staff will be conducting these health and safety inspections on the week of October 9, 2023. Residents are not expected to be present during the inspection, but if you would like to be please contact your RA to schedule a time.</span></p>
    <p><span> </span></p>
    <p><span>If concerns or issues are found in your room, you will receive notification via email. Please review the email and follow the instructions for correcting the issues in advance of a reinspection. Failure to correct the issues by the reinspection date, outlined in the email, may result in Student Conduct Action.</span></p>
    <p><span> </span></p>
    <p><span>If you have questions about these inspections, please contact your Resident Assistant or Community Director.</span></p>

    <h6><span>Student Success Scholarship</span></h6>
    <p><span>The purpose of the Student Success Scholarship is to assist current residential life students who demonstrate significant financial need to remain on-campus residents, who may otherwise be unable to afford housing during the academic year. The scholarship is supported by Residential Life. Award funds are for the following semester. If you are applying in fall, the funds would be applied for the spring semester housing balance. Several scholarships may be awarded each semester. Funds will vary based on eligibility and will range from full semester housing costs to partial semester housing costs, not to exceed the cost of a double room</span></p>
