Declutter Your Inbox: A Guide to Cleaning Up Your Email

<Tagline>Free up space, reduce stress, and find what you need faster!</Tagline>

Is your Google Drive nearing its storage limit? Feeling overwhelmed by a cluttered inbox? Cleaning up your Gmail can help with both! Follow these simple steps to free up storage space and make it easier to find the emails that matter.

Check Your Google Storage

To see how much storage you’re using, click here: Check my Google Storage Usage

    1. Tackle Emails with Large Attachments

Attachments in emails are often the biggest culprits for using up your cloud storage. You can quickly find all emails with attachments by using Gmail's search function. Just type has:attachment into the search bar. Review the results and delete any emails you no longer need.

Pro-tip: If an attachment is important, download and save it to your computer or a more permanent cloud service before deleting the email.

    2. Unsubscribe from Unwanted Mailing Lists

Subscription emails from mailing lists can flood your inbox and contribute significantly to clutter and storage usage. If you're no longer interested in a newsletter or promotional emails, look for the "Unsubscribe" link at the bottom of the email. Unsubscribing stops the emails entirely, saving you the hassle of deleting them one by one.

    3. Delete Old and Unnecessary Emails

While large attachments are the main culprits, a large volume of old emails also adds up. Take some time to search for and delete emails you no longer need. You can use search terms like before:YYYY/MM/DD to find emails from a specific date range (e.g., before:2024/01/01 to find emails from last year).

    4. Clear Out Your Spam Folder

While Gmail automatically empties your spam folder every 30 days, it's a good habit to clear it out more frequently, especially if you receive a lot of spam. This is a quick and easy way to reclaim a small amount of storage space.

    5. Empty the Trash Bin

This is a critical final step! Remember that moving emails to the trash doesn't delete them permanently—they still take up storage space. Make sure you empty your trash folder regularly after deleting emails to fully recover your storage.

Travis collaborated closely with AV Services to update Room Kits that are in several conference rooms around campus. He coordinated and scheduled the updates, which involved a significant IP address change for the room kits. The project moved the devices from the public IP addresses to a more secure private IP AV Network.

This complex transition required Travis to meticulously review network protocols and firewall settings to ensure seamless internet connectivity for all users. He successfully completed the updates for every conference space with a room kit, including high-traffic areas like Admin, The Commons, and the Center for Wellbeing.

The project faced several challenges, but Travis’s dedication was unwavering. He went above and beyond, often digging into the back-end to troubleshoot connectivity issues and even making last-minute configuration changes to Ethernet jacks to guarantee a smooth transition.

Thanks to his successful efforts, the room kits are now more secure and easier for AV Services to manage remotely. As an added benefit, the update has also enabled error-free Windows Miracasting and Apple AirPlay functionality.

Please join us in congratulating Travis White for his hard work and commitment to improving our campus technology infrastructure.

In a significant technological breakthrough, Gandhi and Sutherin have dramatically improved the Blackboard course creation and enrollment process, addressing long-standing challenges in digital course management.

Behind the Scenes Innovation

Chris Sutherinled the initial phase of the project, completely restructuring the course creation workflow. "The legacy system was inefficient," Sutherin explained. "Over 85% of faculty were requesting separate course sections, which created significant administrative bottlenecks."

Technical Innovation

Chris demonstrated remarkable technical prowess by:

- Redesigning the course creation and enrollment process

- Resolving complex data transfer challenges between PeopleSoft and Blackboard

- Creating a new infrastructure that addresses previous system limitations

Key Improvements

- Implemented a one-course-shell-per-enrollment approach

- Reduced student course access wait times

- Improved course roster accuracy

- Enabled future opportunities for grade export and data alignment

Project Highlights

- Rebuilt course creation process infrastructure

- Collaborated extensively with Blackboard administrators

- Developed a more modern and efficient integration system

Complementing Sutherin's work, Dhaval Gandhi developed a custom web form that allows instructors to:

Innovative Solution Development

Dhaval created a transformative custom web form that:

- Displays instructor teaching schedules

- Allows instructors to select course merges

- Generates CSV files for streamlined course management

Process Enhancements

- Simplified course merge request procedures

- Integrated data from PeopleSoft, Blackboard, and RT

- Enabled faculty to disable unused courses

- Reduced manual administrative work

Transformative Impact

The project represents more than a technical upgrade. It fundamentally reimagines how technology can support educational administration, reducing manual processes and improving overall user experience. The collaborative efforts of Chris and Dhaval have significantly:

- Improved technological infrastructure

- Enhanced user experience for faculty and students

- Streamlined administrative processes

- Demonstrated exceptional problem-solving skills

"What makes this achievement remarkable is how they've turned complex technical challenges into seamless, user-friendly solutions," said an Instructional Technology team member.

For all of your exceptional efforts and commitment to excellence, we are proud to present Dhaval and Chris with the July DoIT Gritty Award. Congratulations!
