Multimedia Accessibility At-a-Glance
Multimedia accessibility ensures that all learners can engage with video and audio content through captions, transcripts, and audio descriptions, creating an inclusive environment for students with sensory disabilities and those learning in noisy, distracting, or low-bandwidth environments.
What's Inside
Multimedia accessibility removes sensory barriers that prevent students, faculty, staff, and community members who are Deaf, Hard of Hearing, blind, or have low vision from fully engaging with video and audio content. Captions ensure that spoken information is accessible to people who cannot hear it, while audio descriptions make visual demonstrations, on-screen text, and non-verbal cues accessible to people who cannot see them. Transcripts provide an alternative format that benefits everyone, allowing users to search for specific content, review material at their own pace, or access information in low-bandwidth situations.
Beyond addressing sensory disabilities, multimedia accessibility supports Universal Design for Learning (UDL) principles that benefit all students. Non-native English speakers can follow along more easily with captions, students in noisy environments (like commuter trains or shared living spaces) can engage with content without audio, and students with attention or cognitive processing differences can pause and review transcripts to reinforce understanding. When you make multimedia content accessible, you create a more inclusive and effective learning environment for all users.
Navigating the requirements for video and audio content doesn't have to be overwhelming. Our Multimedia Accessibility Quick Fix Guide uses a simple decision tree to help you identify exactly what your multimedia content needs, whether it's captions, transcripts, audio descriptions, or a combination of those, and provides step-by-step instructions for the free tools that can get the job done efficiently.
You don't need to be a video editing expert to make your multimedia content accessible. However, it's important to understand that AI-based auto-generated captions provided by popular platforms like Zoom, Panopto, YouTube, and Vimeo do not, by themselves, meet WCAG (Web Content Accessibility Guidelines) standards for accuracy. WCAG requires captions to be "fully accurate" so that Deaf and Hard-of-Hearing viewers have an equivalent experience. Because AI often struggles with technical jargon, proper nouns, and diverse accents, these auto-generated captions are only a starting point for meeting accessibility standards. You must edit your captions before distributing your multimedia content. Focusing on "easy wins" can significantly reduce the time you spend on remediation while maximizing the impact for users.
Tips for Improving Caption Accuracy from the Start
Work from a Script: The easiest way to ensure accuracy is to prepare a script beforehand and stick to it during recording. If you upload your script to platforms like YouTube as a transcript file, the AI can sync your exact words to the audio, giving you near-perfect accuracy with minimal manual editing.
Better Audio Input: AI accuracy improves significantly with clear audio. Use an external microphone and intentionally enunciate complex vocabulary, technical terms, and proper nouns to reduce the number of errors the AI makes.
Speak Clearly and Pause: When recording, speak at a moderate pace and pause briefly between major ideas or sections to help the AI segment your speech more accurately.
Pre-Record Key Terms: At the beginning of your recording (which you can edit out later), slowly and clearly say any technical terms, names, or jargon you'll be using. Some AI systems learn from context within the same recording, improving accuracy for those terms throughout.
Where to Find Your Caption Editors
Once you've used our Quick Fix Guide to determine what you need to remediate, here's where to access the editing tools in popular platforms:
Zoom:
Settings > Recording > Advanced > Enable "Audio Transcript." After recording, access and edit captions: Recordings & Transcripts > Play Video (captions appear on side panel) > use the edit pencil icon to edit and save, which automatically saves to your transcript file.
Panopto:
Upload or record your video > Captions > Request Automatic Captions. After recording, edit directly in Panopto's caption editor: Open video > Open in Editor > Captions > Type directly into text boxes > Apply to save and update transcript
YouTube:
YouTube Studio > Subtitles > Select your video > Auto-generated > Click "Edit" to open the caption editor
Easy Wins for Editing Captions & Transcripts
When you access your platform's caption editor, the editing process is straightforward; most platforms allow you to click directly on text to make corrections, with changes saving automatically. Here are a few strategies to save you the most time:
The "Find and Replace" Strategy: Use the "Find and Replace" function to instantly fix recurring technical jargon, discipline-specific terms, or name misspellings across your entire transcript. Instead of correcting "poly merase" 15 times manually, fix it once and apply it everywhere.
Clean Captions for Cognitive Load: For non-native speakers and students with cognitive processing differences, an easy win is removing excessive filler words (e.g., um, uh, you know) from your captions. This creates a cleaner, more readable experience without losing the authentic tone of your lecture. This approach, called "clean verbatim," is the standard for educational captions and fully complies with WCAG requirements, which focus on substantive accuracy rather than preserving every utterance.

Audio Description: If you use YouTube videos in your course, YouDescribe is a free web-based tool that allows you to add audio descriptions to existing videos without re-editing the original file. Simply record your voice describing the visual content during natural pauses, and YouDescribe syncs it with the video timeline. This is perfect for making demonstrations, experiments, or visual lectures accessible to students with visual impairments.
Captions and Audio Description: CADET (Caption and Description Editing Tool) is a free, downloadable tool from GBH (formerly WGBH, Boston-based public broadcasting organization) that allows you to create high-quality captions and audio descriptions on your local computer. Great for offline work or sensitive content.
To truly understand the necessity of accessible multimedia, we must look beyond the technical requirements and see how these features function in practice. The following videos demonstrate why accuracy and description are vital for an equitable learning experience. First, a video from the U.S. Department of Education's Office for Civil Rights illustrates why relying solely on auto-captions is insufficient, showcasing several "auto-caption fails" that can lead to significant misunderstandings of educational content. Second, the Royal National Institute of Blind People (RNIB) video highlights the critical role of audio description for users who are blind or have low vision. While their examples draw from television and film, the lesson translates directly to our academic environment: whether you are demonstrating a lab experiment or presenting complex charts and graphs on a slide, providing audio descriptions ensures that all users can fully access and understand the visual components of your instruction.
Our Digital Accessibility Spring Cleaning event on January 8-9, 2026, marked a major milestone in our system-wide effort toward inclusive excellence. The response was overwhelming, with more than 1,500 faculty and staff registering for our virtual sessions and many more joining local activities hosted across our campuses. This incredible turnout underscores a shared commitment across the system to ensure our digital course materials are accessible to every student ahead of the 2026 deadline.
The two-day event kicked off with inspiring remarks from faculty and staff leadership, followed by a series of practical, hands-on sessions. Participants tackled everything from "low-hanging fruit" accessibility fixes to complex remediation in STEM, Art, and Music. Beyond the numbers, the event fostered a true sense of community; through our interactions with participants, we've seen hundreds of documents improved and a significant boost in faculty and staff confidence. This collective effort has turned a daunting task into a celebrated success, setting up a strong foundation for our ongoing accessibility work moving forward.

These sprints will focus on one of the Six Essential Steps each month. The Zoom remediation sprints will include a few minutes of overview content and then active work time for you to remediate your own documents and ask any questions you may have. As part of UMBC's continued transition to SAP Concur, we are writing to share important upcoming dates regarding travel reimbursements.
Key Dates at a Glance
March 1, 2026 – Creation of reimbursement requests from approved pre-approvals in the legacy system ends.
March 1, 2026 and after – Reimbursements for pre-approvals in the legacy system must be submitted in SAP Concur.
Ongoing – Legacy system remains available for reference-only access to past travel and reimbursement data.
Effective March 1, 2026, the legacy travel system will no longer be available for creating reimbursement requests associated with pre-approvals in the legacy system. All reimbursements tied to these pre-approvals must be submitted through SAP Concur. As of March 1st, approximately 5 travelers may have trips which will require a reimbursement after returning from travel. These travelers should contact travel@umbc.edu upon their return for assistance with next steps.
The legacy system will remain up and running for reference-only purposes, allowing campus users to view historical travel and reimbursement records. No new reimbursement requests tied to approved pre-approvals may be created in the legacy system after March 1, 2026.

Reminder: One Date. Important Changes.
Dear UMBC Community,
This is a reminder that starting Friday, December 12, UMBC will disable the ability to create new Pre-Approvals in the Legacy Travel System. All new travel pre-approvals must be submitted in SAP Concur beginning on this date.
If you are planning travel after spring break, please begin using SAP Concur now. We expect to fully retire the Legacy Travel System before the end of the spring semester.

SAP Concur offers 24/7 assistance, including live chat, phone support, and a robust Help & Learning Center—available anytime, anywhere. Business Services is also available during normal business hours for UMBC-specific questions.

Alternative text serves as a bridge between visual and non-visual experiences of digital content. When someone using a screen reader encounters an image without alt text, they hear only "image" or a meaningless filename, creating an information gap that can range from mildly frustrating to completely excluding them from understanding course materials, research findings, or important announcements. Alt text transforms images into words, conveying not just what an image shows, but why it matters in context, whether that's a complex data visualization in a research presentation, a diagram explaining a scientific concept, or a photograph capturing a campus event.
Beyond accessibility compliance, thoughtful alt text benefits everyone in our academic community. Students accessing course materials on mobile devices with limited bandwidth appreciate text descriptions when images load slowly. Faculty repurposing content across platforms find that well-written alt text makes materials more versatile and searchable. Researchers sharing visual data ensure their work reaches the widest possible audience. By treating alt text as an essential component of digital communication rather than an afterthought, we create more robust, inclusive, and effective educational experiences that reflect our institution's values and enhance learning for all.

Important: Alt Text Doesn't Always Transfer Between Platform
Alt text added in one application (such as Canva, PowerPoint, or Word) may not automatically transfer when you export to another file format, particularly PDFs. Always verify that your alt text has transferred correctly, and be prepared to re-add it in the destination platform (e.g., using Adobe Acrobat Pro for PDFs) to ensure accessibility is preserved.
Not all images need the same approach to alt text. The key is understanding an image's purpose on the page. The W3C Web Accessibility Initiative offers an excellent resource to guide your decisions: the Alt Text Decision Tree.
Six Types of Images:
Informative Images
Photos, illustrations, and graphics that convey concepts or information need descriptive alt text capturing the essential message.
Example: A photo of students collaborating → "Three students working together on a group project in the library"
Decorative Images
Images used purely for visual appeal should have empty alt text (alt ="") so screen readers skip them entirely.
Example: Decorative borders, background patterns, design flourishes
Functional Images
Icons and buttons that perform actions should describe what happens when clicked, not what the image looks like.
Example: Printer icon → "Print this page" (not "printer icon")

When text appears in an image (avoid this when possible!), the alt text must include the exact same words.
Example: A quote graphic → include the full quote as alt text
Complex Images
Charts, graphs, and diagrams require comprehensive descriptions of the data or information they present.

Context matters! The same image might need different alt text depending on where and why it's used. A bird photo on a parks website might simply need "Red cardinal," while the same photo on an ornithology site might require "Male northern cardinal (Cardinalis cardinalis) in breeding plumage."

This November, faculty and staff from across all our campuses came together for the Digital Accessibility Transformational Seminar, a comprehensive professional development experience designed to build capacity and confidence in creating accessible digital content. Hosted by the National Federation of the Blind at their headquarters in Baltimore, participants explored practical strategies for making course materials, research outputs, and communications more inclusive. The seminar brought together 70 faculty, staff, and leaders to work through real-world scenarios, share challenges and solutions, and develop actionable plans for implementing accessibility improvements in their own contexts. The seminar also featured poster presentations from our 17 Boosting Course Accessibility mini grantees (featured below in the photograph) that detailed their course improvements for the upcoming spring semester.
The success of this seminar demonstrates our commitment to accessibility as a shared responsibility and ongoing journey. We are eager for our participants to serve as digital accessibility champions within their own departments, extending this seminar's impact across the University System of Maryland.

As part of the USM's accessibility support, the Kirwin Center for Academic Innovation is offering monthly remediation sprints for faculty and staff across the state of Maryland. These sprints will focus on one of the Six Essential Steps each month. A Commitment to Inclusion: UMBC’s Digital Accessibility Initiative
Addressing new federal digital accessibility requirements
Dear UMBC Community,
As we continue to rely on digital platforms for teaching, learning, and administrative functions, digital accessibility has been a core component of that commitment. UMBC has been dedicated to making our information technology and digital content accessible so that everyone has the opportunity to make use of the university's knowledge, ideas, and resources.
We are updating and expanding our digital accessibility initiatives to meet new federal requirements. On April 24, 2024, the U.S. Department of Justice (DOJ) finalized a new rule under Title II of the Americans with Disabilities Act (ADA), defining clear technical standards for digital accessibility to follow Web Content Accessibility Guidelines (WCAG) 2.1 Level A (minimum) and Level AA (enhanced) for images, sound, video, documents, and text. As content for courses, research, and the public is constantly created, this will be an ongoing effort requiring everyone to do their part for the benefit of others.
To support this ongoing effort, UMBC has launched the Digital Accessibility Steering Committee (DASC) led by vice presidents Tanyka Barber and Jack Suess. This group is charged with developing, tracking, and evolving our compliance efforts by focusing our resources on the efforts that can achieve the greatest impact.
The DASC has started meeting and will begin reaching out to campus departments and constituencies to communicate and seek feedback on our plans and efforts that are underway. This work affirms our university's deep and ongoing commitment to creating a diverse, equitable, and inclusive community for all our members. Together, we can use this effort to create a more accessible digital environment that truly works for all members of our community.

Important Update: Legacy Travel System Pre-Approvals Ending December 12
Dear UMBC Community,
Effective December 12, 2025, you will no longer be able to create new Pre-Approvals in the Legacy Travel System. All new travel pre-approvals must be submitted in SAP Concur starting on this date.
We've seen strong adoption of Concur over the past several weeks, and many travelers are already benefiting from its modern interface, integrated booking tools, and faster, more accurate processing.
Planning Travel After Spring Break?
Please begin using SAP Concur now. We expect to fully retire the Legacy System before the end of the spring semester, and shifting early will help avoid delays.

The Power of Partnership: How a Simple Tech Fix Is Transforming Student Support
Improving UMBC applicant experiences through improved tech
Is it Magical Wizardry or is it
DoIT?
It can be both! The Division of
Information Technology (DoIT) and the Undergraduate Admissions & Orientation (UGAO) team collaborated to
understand a problem and a solution. A solution that improved the experience
for both staff and future UMBC Retrievers.
Working in university admissions
means answering a constant flow of questions from prospective students. For
years, UMBC's Undergraduate Admissions & Orientation team managed
this tidal wave of calls and emails using a combination of two different
systems: Google Sheets for call logs and a separate Request Tracker
(RT) queue for emails. This approach created a fragmented picture of each
student's journey, leading to frustration for both staff and students.
Imagine a prospective student
calls with a question, and a few days later, emails with a follow-up. In the
past, the staff member answering the email wouldn't have had any record of the
previous phone call. This forced them to piece together the student's story
from multiple sources, slowing down the process and creating a disjointed
experience. It was clear there had to be a better way.
This is where a collaborative
spirit and a little "magical wizardry" came in. A few members of
the DoIT and the UGAO team realized that
if they could connect these two systems, they could create a single,
comprehensive view of every student interaction. They spent an afternoon
figuring out how to connect the systems using an API, proving that the idea was
possible. This initial proof of concept was followed by a year of hard work,
development, and user testing by a dedicated team.
The result is a new, integrated
system that automatically creates a Salesforce Case whenever an email or
call comes in. This brings all student interactions—calls, emails, campus
visits, application status—into one central location. For the student "Grit
Guides" who answer calls, this means they can instantly see a student's full
history, providing better, more efficient support.
The new system also gives UGAO a
powerful new tool for managing their operations. They can now easily see call
and email volumes, allowing them to staff their team more effectively and
balance workloads. This shift from two separate systems to a single, unified
one is more than just a tech upgrade; it's a commitment to a better user
experience for both staff and students. It's a testament to the power of
partnership, proving that when DoIT and campus partners work together, they can
solve seemingly complex problems and make a real difference.
