    I wanted to thank everyone in DoIT for all you are doing for UMBC. I'm very
    honored to be the leader of DoIT, everyday I see the dedication, caring, and
    knowledge that you bring to your work and by extension to UMBC. The work you do
    in managing complex systems, securing critical data, and advancing digital
    accessibility is more than technical support; it directly powers higher
    education by fostering a dynamic, technologically-driven environment that is
    essential for a leading research university like UMBC. Thank you for your
    commitment to excellence and for being a vital force in our mission.</span></p>

<Title>Profile Sharing on myUMBC</Title>
<Tagline>How to safely share your academic information with others</Tagline>

    <div class="html-content"><div>Did you know that you can share your myUMBC profile with your parent, guardian, or whomever you wish without having to give out your password or login credentials?</div><div><br></div><div>Profile sharing allows them to have access to information that you see fit, whether that be grades, billing, financial aid, etc. This can be useful to allow them to see and access certain information, especially if you are not always around to show them or if you only want them to look at some information and not everything. You have complete control when using this feature, which means you can also revoke people’s access to information at any time.</div><div><br></div><div>To access profile sharing, you can click on your picture in the top right of your myUMBC page and select “Sharing”. </div><div><br></div><div><img src="https://my3.my.umbc.edu/groups/doit/posts/154894/attachments/60587" alt="A screenshot of a menu with a blue button at the top reading “View Profile”. You should see instructions on how to share information with those who have an email address and a social account they can log in through, such as Google, Microsoft, or Amazon. This is also where you specify what information they will have access to. Thanks to UMBC's enterprise license, the basic features of <strong>Microsoft Copilot Chat</strong> are available to all users free of charge, with information you type protected for <strong>Level 1 data</strong>. Once again, data at level 1 is considered non-public information. </p><p><strong>Common Use: Automating Administrative Tasks</strong> Copilot integrates directly into your Microsoft 365 environment, making it a critical tool for boosting productivity and saving time on routine, high-volume tasks.</p><p><br></p><h3><strong>The Storyline: Productivity Multiplier</strong> </h3><div><br></div><ul><li><p><strong>Email Management:</strong> A staff member drowning in emails and reports can instantly turn their day around with Copilot. UMBC has been dedicated to making our information technology and digital content accessible so that everyone has the opportunity to make use of the university's knowledge, ideas, and resources.</p><p>We are updating and expanding our digital accessibility initiatives to meet new federal requirements. On April 24, 2024, the U.S. Department of Justice (DOJ) finalized a new rule under Title II of the Americans with Disabilities Act (ADA), defining clear technical standards for digital accessibility to follow Web Content Accessibility Guidelines (WCAG) 2.1 Level A (minimum) and Level AA (enhanced) for images, sound, video, documents, and text. As content for courses, research, and the public is constantly created, this will be an ongoing effort requiring everyone to do their part for the benefit of others.</p><p>To support this ongoing effort, UMBC has launched the <a href="https://my3.my.umbc.edu/groups/announcements/posts/154649/2f8a9/ba828ab97b122bc52292de8dfa7a1fec/web/link?link=https%3A%2F%2Faccessibility.umbc.edu%2Fdigital-accessibility%2Fgovernance%2F" rel="nofollow external" class="bo">Digital Accessibility Steering Committee</a> (DASC) led by vice presidents Tanyka Barber and Jack Suess. This group is charged with developing, tracking, and evolving our compliance efforts by focusing our resources on the efforts that can achieve the greatest impact.</p><p>The DASC has started meeting and will begin reaching out to campus departments and constituencies to communicate and seek feedback on our plans and efforts that are underway. This work affirms our university's deep and ongoing commitment to creating a diverse, equitable, and inclusive community for all our members. <Title>Graduating Students' Access to UMBC Cloud Storage Services</Title>

    <div class="html-content"><p>Congratulations on making it this far in your academic career! You've put a lot of hard work into getting this far, and it's almost time to graduate, but before you move on to the next chapter of your career, make sure you take the next steps to ensure you keep any important records from UMBC!</p><br><p>Once you become an alumnus of UMBC, there will be changes to what services you can have access to, primarily Google Suite, Microsoft Suite, and Box. With Microsoft Suite and Box, your access to these services expires 30-90 days after graduation. This means any documents or files you had stored in OneDrive, Office 365, and Box will be deleted if they are not copied or moved to another storage device. </p><br><p>To maintain access to your UMBC Google Suite, which includes your Google Drive and UMBC Gmail, you will need to sign into your myUMBC account at least once every 12 months.</p><br><p><strong>Note: </strong>We strongly recommend that you migrate any important data and have your UMBC mail forwarded to a personal account.</p><br><ul><li><p><strong>Storage: </strong>Your Google storage will be restricted to a total of 5GB os space. <Title>Quarterly Patching Downtimes - 11/21 &amp; 11/22</Title>

    <p>As part of our ongoing commitment 
    to security, the Unix Infrastructure group will be conducting its 
    quarterly system patching on Friday, November 21st and
     Saturday, November 22nd.  While many of the systems will be patched 
    without any service disruption, there are some systems which require the
     downtime of key services.  The schedule below outlines which key 
    services will be offline and for how long.</p>
    <p>Friday, 11/21/2025 between 5pm and 10pm (most systems will only be down for a short period during this time):</p>
    <ul><li>Access to Cyrus (legacy) email (accounts not migrated to UMBC Gmail)</li><ul><li>All mail will be queued up and delivered after the server is patched</li></ul><li>All HFS (afs) servers - gl.umbc.edu home directories will be offline</li><li>Between 9:00pm and 10pm only: Certain software licenses will be unavailable (autodesk, cadence, idl, schrodinger, xilinx, mathematica). </li><li>Between 9:00pm and 10pm only: The
     web hosting environments (virthost) will be partially unavailable 
    (pages will be available but any database calls will not work)</li><li>Between 5:00pm and 6:30pm only: LDAP-Master and Webadmin will
     be taken down for system maintenance.  During this time account 
    creations and password changes will be unavailable.  Account 
    authentication and logins will not be affected.</li></ul>

<Title>The Power of Partnership: How a Simple Tech Fix Is Transforming Student Support</Title>

    DoIT?</h3>
    
    <p>It can be both! The Division of
    Information Technology (DoIT) and the Undergraduate Admissions &amp; Orientation (UGAO) team collaborated to
    understand a problem and a solution. A solution that improved the experience
    for both staff and future UMBC Retrievers.</p>
    
    <p>Working in university admissions
    means answering a constant flow of questions from prospective students. For
    years, UMBC's Undergraduate Admissions &amp; Orientation team managed
    this tidal wave of calls and emails using a combination of two different
    systems: <strong>Google Sheets for call logs</strong> and a separate <strong>Request Tracker
    (RT) queue for emails</strong>. This approach created a fragmented picture of each
    student's journey, leading to frustration for both staff and students.</p>
    
    <p>Imagine a prospective student
    calls with a question, and a few days later, emails with a follow-up. In the
    past, the staff member answering the email wouldn't have had any record of the
    previous phone call. This forced them to piece together the student's story
    from multiple sources, slowing down the process and creating a disjointed
    experience. It was clear there had to be a better way.</p>
    
    <p><strong>This is where a collaborative
    spirit and a little "magical wizardry" came in.</strong> A few members of
    the DoIT and the UGAO team realized that
    if they could connect these two systems, they could create a single,
    comprehensive view of every student interaction. They spent an afternoon
    figuring out how to connect the systems using an API, proving that the idea was
    possible. This initial proof of concept was followed by a year of hard work,
    development, and user testing by a dedicated team.</p>
    
    <p>The result is a new, integrated
    system that automatically creates a <strong>Salesforce Case</strong> whenever an email or
    call comes in. <strong>This brings all student interactions—calls, emails, campus
    visits, application status—into one central location. </strong>For the student "Grit
    Guides" who answer calls, this means they can instantly see a student's full
    history, providing better, more efficient support.</p>
    
    <p>The new system also gives UGAO a
    powerful new tool for managing their operations. They can now easily see call
    and email volumes, allowing them to staff their team more effectively and
    balance workloads. This shift from two separate systems to a single, unified
    one is more than just a tech upgrade; it's a commitment to a better user
    experience for both staff and students. It's a testament to the power of
    partnership, proving that when DoIT and campus partners work together, they can
    solve seemingly complex problems and make a real difference.</p>

<Title>Tech Boost: Major AV Upgrades Enhance Teaching &amp; Learning</Title>

    <div class="html-content"><p>This past summer and early fall, the DoIT Infrastructure teams rolled out significant technology upgrades across campus, directly impacting the quality and consistency of your classroom experience. These projects ensure our most-used spaces are equipped with modern, reliable, and accessible tools for everyone.</p><h3>Classroom Technology Refreshed</h3><p>DoIT's Audiovisual Services and Desktop Support teams have successfully completed a comprehensive technology refresh in several high-traffic, Registrar-controlled classrooms. These include:</p><ul><li><p><strong>Information Technology and Engineering</strong> (ITE) 241</p></li><li><p><strong>Engineering</strong> (ENGR) 022, 104/104A, GAIM Lab 005</p></li><li><p><strong>Physics</strong> (PHYS) 201</p></li><li><p><strong>Math and Psychology</strong> (MP) 008, 012, 102, and 105</p></li><li><p><strong>Engineering 027 Lecture Hall</strong></p></li></ul><p>In the DoIT Computer Lab 104/104A, the Desktop Support team installed 49 new Dell All-in-One computers with the latest instructional software. In the CoEIT GAIM Lab, ENGR 005, the Desktop Support team worked with Computer Science faculty to redesign the lab to provide both BYOD (bring your own device) and new Dell workstations to enhance the student instructional experience.</p><p><strong>Explore Engineering 027 Lecture Hall in the video below!</strong></p><p><a href="https://www.youtube.com/watch?v=4c_I73-4JaM" rel="nofollow external" class="bo"><img src="https://my3.my.umbc.edu/groups/doit/posts/153459/attachments/59467" alt="Modern building sitting area with the UMBC logo on the wall and a play button symbol over the image" style="max-width: 100%; height: auto;"></a></p><p><a href="https://www.youtube.com/watch?v=4c_I73-4JaM" rel="nofollow external" class="bo">https://www.youtube.com/watch?v=4c_I73-4JaM</a></p><p>These upgrades do more than just replace aging equipment. The new systems immediately support <strong>lecture capture technology</strong> and significantly <strong>improve accessibility</strong>, ensuring that classroom content is easier for every student to access.</p><p>Best of all, every room now features the familiar campus standard AV control interface. This means whether you're a professor teaching in PHYS 201 or a student presenting in MP 105, the technology will be <strong>reliable, intuitive, and consistent</strong>.</p><p>Beyond these central spaces, AV Services also worked with departments across <strong>CAHSS, CNMS, COEIT</strong>, and several administrative units to refresh their departmental classroom and conference room systems.</p><p>Several departments and offices relocated to the renovated Sherman Hall in the early Fall with the support of DoIT's AV Services, Desktop Support, and Network Engineering Teams. They assisted Academic Engagement and Transition Programs, Individualized Study Program, Undergraduate Academic Affairs, Department of Emergency and Disaster Health Systems, Language Literacy and Culture Doctoral Program, Naval Science Lab, Sherman Scholars, and the Education Department with their office moves.  In addition, the Desktop Support and Network Engineering teams moved eight other departments in late summer in order to support the second phase of the Sherman Hall renewal.  </p><p>Collaborative efforts were made to ensure new technology was documented in our inventory process, and old equipment was properly disposed of and documented.</p><p></p><h3>Sherman Hall Renovation: Building a Modern Hub</h3><img src="https://my3.my.umbc.edu/groups/doit/posts/153459/attachments/59468" alt="Exterior of a modern brick building" style="max-width: 100%; height: auto;"><p></p><p>DoIT is a critical partner in Phase I of the multi-year <strong>Sherman Hall renovation</strong>, a project led by Facilities Management that will transform one of UMBC's core academic buildings. This renovation is creating a modern, <strong>technology-enabled learning hub</strong> at the center of campus.</p><p>Our teams defined the necessary technology standards, coordinated infrastructure, and oversaw the installation of new network, audiovisual, and other essential systems. Throughout departmental moves to temporary spaces, teams from Audiovisual Services, Client Services, Network Engineering, and Telecommunications ensured that <strong>technology remained fully operational</strong>.</p><p>Working closely with the <strong>Classroom Committee, CAHSS, and other colleges</strong>, the AV team designed classrooms, conference rooms, and specialized spaces to meet the current and future instructional needs of our faculty and students.</p><p>Phase I will conclude in fall 2025, with Phase II following. Once complete, Sherman Hall will feature new, cutting-edge classrooms, offices, and student gathering areas that will significantly enhance the academic experience at UMBC.</p><p>Learn more about the Sherman Hall Phase 1 completion on the <a href="https://my3.my.umbc.edu/groups/doit/posts/153439" rel="nofollow external" class="bo">"Sherman Hall's Phase 1 renovation is complete, creating space for creative collaboration" post. </a></p><h3>Full Evaluation for All Classrooms</h3><p>A complete campus classroom and lecture hall evaluation has been completed to maintain and care for existing campus instructional systems. This evaluation included: </p><ul><li><p>Full system operation check</p></li><li><p>Firmware and software updates</p></li><li><p>Projector maintenance and lamp changes</p></li><li><p>Replacement of failed components</p></li><li><p>Full inventory check</p></li><li><p>Verify remote system status monitoring</p></li></ul><p>This process allows our team to detect issues early and maximize the system process. By catching issues early and often, the campus can ensure the classroom and lecture halls are ready for use when faculty and students arrive, avoiding delays and frustrations. A thorough review of the systems also reduces the response times of technicians because the systems are up-to-date, making the diagnostic process quicker. </p><p><strong><br></strong></p><p><strong>Great job to our DoIT Infrastructure teams!</strong></p><p><br></p></div>
