*REMINDER*Department Activity Questionnaire Due COB Tomorrow

<Tagline>HR/Payroll Operations Transitioning Back to AAOU SSC</Tagline>

WE HAVE SOME VERY IMPORTANT INFORMATION TO SHARE...I APOLOGIZE IN ADVANCE FOR THE LENGTHY MESSAGE BELOW.

TO ENSURE A SMOOTH TRANSITION OF RESPONSIBILITIES FROM YOUR DEPARTMENT BACK TO THE AAOU SSC, PLEASE READ ALL OF THE INFORMATION BELOW THOROUGHLY AND IN ITS ENTIRETY, AND TAKE THE NECESSARY ACTIONS AS SOON AS POSSIBLE:

Good Afternoon AAOU SSC Departments!

The AAOU SSC will be fully staffed as of Monday, May 8th 2023. We are planning to begin the transition of departments back to shared services full operations using a phased in approach over the course of the next 4-12 weeks. The goal is to have all departments resume full-service operations by the end of July 2023.

We anticipate four (4) phases of re-onboarding with the first phase commencing as early as PR-2023-026, and the final phase with PR-2024-003.

The first step in our re-onboarding plan, is to complete an audit of all department activity that has occurred starting with PR-018 (the first period departmental staff took on the HR/Payroll duties) through the current period (PR-023) to verify all required reports, files and supporting documentation has been appropriately saved to the shared Google Drive folder(s).

Our audit will determine which departments are ready to be phased back into shared services full operations, and those with no outstanding items will be prioritized to resume full-services in the earlier phases.

As we begin our audit we will be contacting departments individually to inform you of your department's current status, expected re-onboarding timeline, and to advise of any outstanding items required and due date, before re-onboarding can occur for your department.

IT IS VERY IMPORTANT THAT ALL REQUIRED FILES AND SUPPORTING DOCUMENTATION IS SAVED FOR ALL TRANSACTIONAL ACTIVITY, TO ENSURE UNIVERSITY AUDIT COMPLIANCE AND ADHERENCE WITH RECORD RETENTION POLICIES.

Please take some time as soon as possible, to review your department's activity during the period of PR-018 through PR-023 and ensure all files are up to date, and all supporting documentation has been saved to the appropriate folders on the shared Google Drive (i.e Time Entry folders for all time entry actions and reports, Personnel folders for all personnel changes, such as new hires, terminations, pay rate changes, etc).

Upon completion of our audit, we will contact you and there will be a very quick turnaround to provide any outstanding items at that point, so ensuring everything is in working order now, will help streamline the process for all involved.

To help you prepare for the audit of your departments activity and related files:

Please make sure the following items are accounted for (items with an asterisk* are only required to be saved if the report was applicable to your department, or if your department had such activity); i.e. a department that does not have any benefit eligible employees will not have a Detailed Leave Report available to save). Items not marked with an asterisk* are required for all departments (i.e. all departments should have a Time Entry report and Completed Report saved):

Time Entry Reports for PR-018 through PR-023

Detailed Leave Reports* for PR-018 through PR-023

Payroll Adjustment Forms*

    Hello Pre-Pharmers!

We just wanted to remind you that THIS Friday (5/12) is our last meeting for this semester. This time, rather than the virtual meetings we've had back to back, we are having an in-person General Board Meeting and it is from 12 PM - 12:50 PM (or may end earlier if time permits.) The location is Engineering 021.

This week's GBM will concern the classes that our president and vice president took for pharmacy school, and how their pathways (degree vs. no degree) differ in regards to the courses.

In addition, our new E-Board (executive board) will be officially announced during this GBM, so make sure to come and meet our new officers for the Fall 2023 semester!

Once again, study hard for finals, and we wish you the best of luck!

Wednesday Wisdom Series

<Tagline>Credit Union</Tagline>

Dear Graduate Assistants,

All UMBC GAs are eligible for membership at SECU (State Employees Credit Union), and there is a SECU ATM on-campus at UMBC (University Center building).

What are Credit Unions:
Credit unions are nonprofit institutions that are owned by their members, so they tend to offer lower fees and better rates. (For instance, one current member of GAAC chose SECU for a HELOC, or home equity line of credit, this year.) Once you gain membership, you can remain a member even after your GAship ends, so this is one benefit it may make sense to take advantage of now so that you have it for future use.

How do you become a member?

SECU requires you to open a $10 savings account along with any new account to establish your membership, which will automatically be set up during the account opening process.

Once you join SECU, you are a member for life, as long as you maintain at least a $10 balance in your savings account.

It takes about a week for SECU to approve your membership application.

Why should you join a Credit Union now?

SECU is currently offering a promotion (through the end of May 2023) in which new members can get $100 for opening a Total Checking & Rewards account and using your debit card to pay for purchases 12 times in the first 60 days.

This account has no monthly fee and comes with online banking and one free order of checks per year. The debit card and checks will be automatically ordered for you once you have opened the account.

Note: No member of GAAC is benefiting from sharing this information.

If there is anything specific you want GAAC to discuss / explain in our Wednesday Wisdom series, please reach out to us at gaac@umbc.edu.

Learning Analytics Mini Grants CFP Due 6/2/23

<Tagline>ICYMI: SP23 LA workshops all recorded</Tagline>

UMBC's Division of Information Technology (DoIT), in partnership with the Office of the Provost, is pleased to announce the call for proposals for the 2023 Learning Analytics (LA) Mini Grants. This initiative aims to encourage, identify, and exchange effective practices to enhance student success and retention.

The mini grants are specifically designed to address two key areas of focus:

Student Success and Retention: The grants welcome proposals that explore the relationships between activities and learning in one course and outcomes in other courses. By investigating these connections, instructors can gain insights into strategies that can improve student success and retention rates. This research is particularly crucial for courses with low success rates, critical progression points, or those imparting fundamental skills required for success in the major or program.

Faculty Development and Support: Recipients of the mini grants will receive a $2,000 professional development award, renewable annually, directed to their faculty member or department's PeopleSoft chart string account. In addition to access to warehouse data (REX), recipients will also receive support for Tableau, a powerful data visualization tool. Furthermore, participants will be expected to present a report at the conclusion of their project, and they will have the opportunity to engage with the LA Community of Practice. These grants also provide an opportunity for recipients to use their results to compete for the prestigious Hrabowski Innovation Fund award.

The LA Mini Grants build upon the university's commitment to utilizing data-informed insights to improve student outcomes. In line with this objective, the Provost's office, in collaboration with DoIT's Analytics & Instructional Technology groups, has been organizing workshops on supporting student success throughout the academic year. These workshops, illustrated by our Spring 2023 lineup below, have covered various topics faculty may want to explore further in their own mini-grant proposals:

Democratizing the Doer Effect: Using AI to Scale Learning by Doing (2/24/23)

These presentations have provided valuable knowledge and resources to support faculty in their understanding and utilization of data to support their pedagogy, and the meeting recordings linked through each event are available for anyone with a UMBC account.

The LA Mini Grants program presents an exceptional opportunity for faculty members to enhance their teaching practices and contribute to the university's commitment to student success and retention. Interested faculty members are invited to submit their applications by Friday, June 2, 2023. The application package should include a brief abstract that could be published on the UMBC website if accepted, a maximum three-page research project proposal, and a letter of support from their department chair.
